Privacy notice
This notice explains how NewWay Tech Solutions Ltd ("NewWay", "we", "us") uses personal data when you enquire through our website and when we contact businesses about our services. It applies under the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
Who we are
NewWay Tech Solutions Ltd is the data controller. We are registered in England and Wales (company number 17517566). Registered office: 7 Edwin Road, Leeds, United Kingdom, LS6 1NL. Email: hello@newwaytechsolutions.co.uk.
1. Website enquiries
When you use our enquiry form, we collect your name, business name, email address, phone number (if you give it), your message and the service you're interested in. We use this to reply to you, prepare a preview or quote, and arrange a call if you ask for one.
Lawful basis: taking steps at your request before entering into a contract (Article 6(1)(b)). Where you're enquiring on behalf of a business, we also rely on our legitimate interest in responding to business enquiries (Article 6(1)(f)).
2. Contacting businesses (prospect outreach)
We contact UK limited companies that we think could benefit from a website or help with their Google profile. For this we use business contact details: the business name, address, phone number and email address the business has published, the names of company directors, and public information such as Google ratings.
Where we get it: Google Maps and Google Business Profile listings, the business's own public website and social media pages, and Companies House.
Lawful basis: our legitimate interest in promoting our services to businesses (Article 6(1)(f)). We have assessed this interest and balanced it against your rights. We only email limited companies, as PECR allows, and every email tells you who we are and how to opt out. We may also build a free sample "preview" page using a business's public details. These are clearly marked as unofficial and are removed on request.
3. Customers
If you become a customer, we use your details to provide and bill for our services (contract, Article 6(1)(b)), and keep financial records as the law requires (legal obligation, Article 6(1)(c)).
Who we share data with
We don't sell personal data. We use trusted service providers who process data on our behalf under contract:
- Netlify: website hosting and enquiry form handling
- Google (Google Workspace / Gmail): email and documents
- HubSpot: customer relationship management (keeping track of enquiries, prospects and opt-outs)
We may also share data with professional advisers (for example accountants or solicitors), or where the law requires it.
International transfers
Some of these providers store or access data outside the UK, including in the European Economic Area and the United States. When this happens, we rely on appropriate safeguards. These include UK adequacy regulations (such as the UK Extension to the EU–US Data Privacy Framework, where the provider is certified) or the UK International Data Transfer Addendum / standard contractual clauses.
How long we keep it
- Businesses we've contacted that don't respond: deleted 12 months after our last contact.
- Enquiries and prospects who don't go ahead: deleted 24 months after last contact.
- Customers: for the length of our contract, then 6 years for legal and accounting purposes.
- If you ask us not to contact you, we keep a minimal record (your email address, business name and the date) on a suppression list. We keep this for as long as needed to make sure we never contact you again.
Your rights
You have the right to access your data, have it corrected, have it erased, restrict how we use it, object to how we use it, and receive it in a portable format (where this applies).
Right to object to direct marketing: you can tell us at any time to stop contacting you with marketing. Reply "STOP" or "unsubscribe" to any of our emails, or email hello@newwaytechsolutions.co.uk. We'll stop straight away and won't contact you again.
To exercise any right, email us. We'll respond within one month. There's normally no charge.
Complaints
If you're unhappy with how we've used your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.
